Privacy Policy

yNote is built on a simple principle: your patient data is yours. We designed the product so that patient information never reaches our servers — not because we have good security, but because there's nothing to protect on our end.

1. Who we are

yNote is developed by yNote Inc., a company registered in Delaware, US. yNote is an AI-powered clinical note-taking application for licensed mental health clinicians. This Privacy Policy applies to the yNote desktop application and the ynote.io website.

2. The short version

What we collect: Your email address (when you purchase or join the waitlist), your license key, and minimal payment metadata from our payment processor.

What we never collect: Patient audio, transcripts, clinical notes, session data, or any Protected Health Information (PHI).

Why: All AI processing in yNote runs locally on your device. Patient data never reaches our servers because it was never designed to.

3. Data we collect

3.1 Account & purchase data

When you purchase yNote or join our waitlist, we collect your email address and first name. Payment processing is handled by Lemon Squeezy or Stripe. We receive a transaction confirmation and your license key — we do not receive or store your credit card details.

3.2 License validation

When you activate yNote, the app sends your license key to our licensing server to verify it is valid. Only the license key is transmitted — no PHI, no device identifiers, no usage data.

3.3 Update checks

yNote periodically checks GitHub Releases for a newer version. Only a version metadata request is made. No user data is included in this request.

3.4 First-run model download

On first launch, yNote downloads the Whisper AI model from our CDN (Cloudflare R2). This is a one-time download of a binary file. No user data or patient data is sent. After this download, yNote operates fully offline.

3.5 Website

ynote.io is hosted on Webflow. When you visit our website, standard web server logs may record your IP address and browser type. We do not run any analytics, tracking pixels, or behavioral monitoring on our website.

4. Data we do NOT collect

  • Patient audio recordings
  • Clinical session transcripts
  • SOAP, DAP, BIRP, or any other notes generated in yNote
  • Any Protected Health Information (PHI) as defined under HIPAA
  • Usage analytics, telemetry, or crash reports
  • Keystroke or behavioral data
  • Location data

5. How we improve our AI models

We never use patient data to train or fine-tune our models. yNote's AI models are improved using synthetic datasets only. Your recordings and notes are never transmitted to us for any purpose.

6. Data sharing

We do not sell, rent, or share your personal data with third parties except:

  • Payment processors (Lemon Squeezy / Stripe) — to process your purchase. They have their own privacy policies.
  • Cloudflare R2 — for the one-time model download on first launch.
  • GitHub — version metadata for update checks only.
  • Legal requirements — if required by law or court order.

7. Data retention

We retain your email address and license key for as long as your license is active. If you request deletion, we will remove your data within 30 days. Patient data is never retained by us — it exists only on your device.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, or delete the personal data we hold about you. To exercise any of these rights, contact us at the address below. Because we hold only your email and license key, data requests are straightforward to fulfill.

9. Children

yNote is intended for use by licensed healthcare professionals. We do not knowingly collect data from individuals under 18 years of age.

10. Changes to this policy

If we make material changes to this policy, we will notify you by email and update the effective date above. We will not retroactively reduce your privacy rights.
